Terms and conditions for the contracting of incentive trips and tailor-made trips organized by MIRAVILA EXPERIENCES S.L.U with NIF B-19907476, located at Av. Albufera, 23, Playa de Muro, 07458, Balearic Islands (hereinafter referred to as “Insiders Mallorca”). These terms govern the relationship between Insiders Mallorca and the client (hereinafter referred to as “the Client”), establishing the rights and obligations of both parties. Acceptance of these terms ensures efficient management of the trip, availability of the contracted services, and compliance with the commitments made to our suppliers.
To ensure optimal planning, the payment conditions, cancellation policy, and applicable modifications are detailed below.
1.1. Payment Conditions
Initial Payment: To confirm the reservation of the trip, a payment of 50% of the total trip price must be made within a maximum of 7 days after receiving the first invoice. Once the initial payment is made, the commercial proposal and the general terms and conditions reflected in this document will be considered accepted. Furthermore, 25% of the total trip price will be non-refundable in case of cancellation by the Client, due to the administrative and management costs incurred from the beginning of the planning, as well as the commitments made with our suppliers and their contractual conditions.
Final Payment: The remaining 50% must be paid at least 90 calendar days before the arrival date at the destination.

Additional Costs: Any additional service requested by the Client after signing the contract will be invoiced separately, and a new payment date must be agreed upon before the service is provided.
1.2. Total Cancellation
Total Cancellation by the Client:
From the acceptance of the commercial proposal to 90 days
before the arrival at the destination: Refund of 25% of the total
price.
Between 90 and 60 days before the arrival at the destination: Refund of 50% of the total price.
Less than 60 days before the arrival at the destination: 100% of the total price will be charged, and there will be no possibility of a refund.
Force Majeure: If the cancellation is due to force majeure (such as natural disasters, epidemics, armed conflicts, or other circumstances beyond the control of both parties), Insiders Mallorca will work with the client to reschedule the trip on a mutually agreed date. If rescheduling is not possible, payments made will be refunded, less any non-recoverable incurred expenses.
1.3. Partial Cancellation and Date Change
● Partial Cancellation by the Client:
From the acceptance of the commercial proposal to 60 days
before the arrival at the destination: Cancellation of up to 15% of
the total number of travelers will be accepted without penalty (*).
Between 60 and 15 days before the arrival at the destination: Cancellation of up to 8% of the total number of travelers will be
accepted without penalty (*).
○ Less than 15 days before the arrival at the destination: 100% of the total price will be charged, and any partial cancellation will be non-refundable.
(*) Any cancellation exceeding the previously established percentages will not be refunded under any circumstances. Additionally, cancellations made less than 15 days in advance will not be entitled to a refund.
● Change of Trip Dates: Changing dates will be subject to availability and may be made as long as it is done more than 90 days in advance of the arrival at the destination. Furthermore, this request may incur additional charges according to supplier conditions.
1.4. Liability
The Client is advised to ensure that all participants have the necessary, valid, and updated documentation, including passports, visas, and travel insurance.
Insiders Mallorca will not be liable for any damages, losses, or incidents that may occur to the Client during the provision of services by third parties or external companies.
1.5. Data Protection
In accordance with Regulation (EU) 2016/679 (GDPR) and Organic Law 3/2018 on Personal Data Protection, Insiders Mallorca guarantees the confidentiality and security of the personal data provided by the client. This data will be used exclusively for the management and organization of the trip.
1.6. Acceptance of Terms
Confirmation of the trip reservation implies acceptance of the general terms and conditions of the contract. The client is advised to read this document carefully and, in case of doubts, to contact our team for clarifications before proceeding with the contracting.
1.7. Legislation and Jurisdiction
The parties agree that this contract shall be interpreted in accordance with Spanish legislation, and any dispute shall be resolved in the Courts of Palma de Mallorca.
1.8. Claims and Complaint Forms
In accordance with the regulations of the Consell de Mallorca, official complaint forms related to tourism services are available to clients. These forms can be accessed and submitted through the following official link:

2.1. Initial payment: 50% of the total price within 7 days after receiving the first invoice

2.3. Total Cancellations:
● More than 60 days in advance: 100% refundable
● Between 60 and 10 days prior to the activity: 50% of the total amount is refundable
● Within 10 days prior to the activity: Non-refundable
Changes in the Number of Participants
2.4. Reduction in participants:
○ A reduction of up to 20% of the total number of participants is allowed without penalty, provided it is communicated at least 10 days prior to the activity date.
○ If the reduction exceeds 20% or is communicated less than 10 days in advance, no refunds will be issued for the cancelled participants.
2.5. Increase in participants:
○ Subject to availability and must be confirmed at least 15 days in advance. Any additional costs will be applied accordingly.
2.6. Date change:
○ Only available more than 30 days before the activity, subject to availability.
